How to Onboard 5, 50 or 500 People Without Creating an Admin Bottleneck

Manual entry, business-card scanning and structured imports give teams three realistic paths to a consistent digital identity rollout.

Human resources team onboarding a diverse group of employees with laptops and identity cards

The right onboarding method depends less on company size than on the quality and location of the information you already have. A founder may know every detail. An event team may hold a stack of cards. HR may have a clean employee export.

    Three starting points

    • Fill details directly for a small, high-touch group.
    • Scan business cards when the source is physical.
    • Upload a structured list when data already lives in a people system or spreadsheet.

    Consistency without impersonation

An administrator can establish the initial record and issuer branding, then assign the tag to the person's email. The recipient signs in with their Google account or uses password recovery to enter their account and take ownership of ongoing updates.

    Design the rollout around exceptions

Bulk work is rarely blocked by the happy path. Plan for duplicate emails, incomplete names, transfers and offboarding. A strong rollout makes those cases visible and reversible rather than hiding them in a success count.
